Invoicing without the busywork
- Create an invoice from the job in a tap, with your logo and company details filled in.
- Bill in phases with progress billing for larger jobs.
- See paid, pending and overdue at a glance, and get an alert when an invoice runs late.
- Send an itemized paid-in-full receipt listing every payment by the date it was collected.
Everything in one app
Estimates clients sign on their phone
Build an estimate from your price list, or describe the job by voice or start from a photo and let AI draft it for you to review. Offer options, then the client signs from a link.
Jobs, crew and calendar
Every signed estimate becomes a job. Schedule your crew, send appointment reminders and an “On my way” message, and track timesheets.
Work areas with photos and video
Break a job into areas like kitchen, bath or panel, each with its own progress, photos and short videos. The overall percentage calculates itself.
Invoices and getting paid
Turn a job into an invoice in a tap, bill in phases with progress billing, track every payment, and send an itemized paid-in-full receipt with your logo.
A client portal
Clients follow progress, photos, documents and invoices from one secure link, with no app or password, and message your team directly.
English and Spanish
Run GCAid in English or Spanish. Client-facing documents and messages go out in each client’s own language.
Online booking for your website
Add a booking button to your website. Clients request a time, and days you block on your calendar close automatically.
QuickBooks Online
Connect QuickBooks Online and invoices sync. Not connected? Export a file that QuickBooks imports directly.

Common questions
Does GCAid process card payments?
GCAid tracks payments you collect through your existing payment methods. The invoice shows the client the ways you accept payment.
Does it work with QuickBooks?
Yes. Connect QuickBooks Online and invoices sync, or export a file that QuickBooks Online imports directly.
Is this only for bigger crews, or does it work if it’s just me?
It flexes both ways. A one-person operation gets the same estimating, invoicing, and client portal tools as a company with a full crew. You only add team members, and pay for their seats, when you actually need to.
I already use QuickBooks for my books. Does this replace that?
No, GCAid isn’t accounting software. It handles estimating, job tracking, invoicing, and client communication. Connect your QuickBooks Online account and invoices sync automatically; if you’re not connected, a one-click export from your Invoices tab still drops cleanly into QuickBooks Online’s own import screen. Either way, nothing gets re-keyed by hand.
Who is responsible for my estimates and invoices?
You are. GCAid gives you professional, editable templates that fill in from your company profile. They are still your documents, and you can add or remove any wording to match your state’s requirements. GCAid does not prepare contracts.
